Media Assistant, NMHM/NPB
Norton Mental Health Media/Norton Professional Books (NMHM/NPB) is seeking a Media Assistant. The Media Assistant will provide hands-on operational and production support for NMHM/NPB media products and live programming, helping the team move content efficiently from acquisition through launch.

This role supports the Publishing Director in a variety of administrative and organizational tasks. This role also supports the Assistant Media Editor and editorial leadership by coordinating contracts and releases, collecting author materials for copyediting review, maintaining production trackers and file organization, and assisting with event logistics and post-event asset handling. This position is remote.

Essential Job Responsibilities Include:

Contracts, Agreements & Payments Support

Request and track contracts and agreements in coordination with the NMHM/NPB editorial team.
Request and track checks related to projects (author payments, honoraria/appearance fees, and production costs) and maintain clear documentation for approvals and follow-through.
Administrative management such as organizing and maintaining files, tracking manuscripts and reviews, copying, printing, and emailing.

Author Materials Collection for Copyediting Review & Launch Readiness

Support preparation of transmittals and internal documentation used in downstream workflows.
Serve as point person with Digital Content Manager when incomplete or non-compliant copyediting materials have been identified during accreditation review, and coordinate with content creators to remediate gaps (e.g., missing disclosures, incorrect formats, or incomplete documentation) to ensure materials meet accreditation requirements before approval.

Downloadables & Asset Formatting

Prepare course and product downloadables for delivery: convert PowerPoint slides to a notetaking-friendly PDF format and format study guides/worksheets/exercises for consistency, legibility, and brand presentation.

Read + Watch / Book Packet Support (Permissions & File Assembly)

Support rights/permissions workflows by assembling book content components, obtaining chapter PDFs, extracting chapters, and organizing files according to naming conventions.
Assist with permissions review tasks under guidance from editorial leadership.

Norton Talks & Live Event Operations Support

Set up Zoom webinars and invite panelists; obtain bios/photos for marketing; configure webinar settings (chat/Q&A, waiting room, surveys, integrations), and create internal calendar invites as needed.
Support post-event workflows such as trimming/downloading recordings, uploading files to SharePoint, and preparing assets for captions and publication.

Publishing Operations: QA, Documentation & Tracker Maintenance

Review and proofread pages in landing-page and course tools (e.g., Knak and CE platforms) for accuracy and completeness; flag issues and coordinate fixes with appropriate stakeholders.
Keep SharePoint folders and production tracking documents up to date; communicate changes to stakeholders and maintain clear version control.

Video & Caption Workflow Support (in coordination with video production resources)

Assist with basic video operations such as uploading reviewed videos to SharePoint, requesting/generating captions through established processes, and spot-checking captions for key errors (e.g., name misspellings).
Support additional responsibilities as new product formats (e.g., NIEs and summits) come online, including administrative and asset-prep work as assigned.

Qualifications & Requirements
Required Qualifications:

Bachelor’s degree.
Employment eligibility to work with W.W. Norton & Company in the US is required.
Must able to work full Eastern Time zone business hours.
Excellent organizational, verbal, and written communications skills.
Must be able to anticipate needs and deliver timely, relevant solutions and actions.
Must be able to develop rapport and relationships with all levels of employees.
Must be seen as knowledgeable and capable of handling sensitive, critical information.
Must be proactive, flexible and adaptive in a rapidly changing environment and adjust with a "can-do" attitude.
Must be self-directed and independent.
Must have good time management skills, be organized, and be capable of multi-tasking across departments, activities, and projects.
Must be detail-oriented, making sure that all aspects of their daily activities are handled with accuracy, with minimal mistakes.
Mastery of email and calendar management tools required, specifically Outlook.
Proficiency in Word and Excel.

Compensation and Benefits*

Currently available benefits include:

Annual compensation for this position is $45,000. All salaries and salary ranges posted by Norton may vary depending on experience, skills, location, and like considerations.
