Administrative and After School Programs Manager
The mission of our schools is to ensure that our scholars receive the most rigorous education. Core to achieving this mission is smooth operations that support all stakeholders’ ability to educate our scholars. Reporting to the Director of Operations, the Administrative Manager will ensure systematic, proactive, and efficient management of registration, student information, attendance, family retention and school based operations while building relationships with families and managing enrollment at our schools. During club launch and on club days only, we would like this position to work on an alternate schedule of 9 am - 5 pm to ensure a strong start of club systems and routines.

What You’ll Do

Registrar Responsibilities:

Collect, track, and maintain complete and accurate student registration documentation for all new and returning students in hard copy and digital formats.
Communicate regularly with families regarding documentation submission, student biographical information, and related services.
Oversee all entry of attendance data into student information systems. Follow-up with teachers who are unable to enter attendance accurately.
Leads weekly attendance committee meetings with a variety of stakeholders who contribute to the healthy attendance of our school community.
Monitor student attendance data and work with internal stakeholders and external community partners to coordinate truancy-prevention interventions.
Compile and send the daily attendance update to the entire school community. Leverage strong written communication skills to motivate staff to push progress on attendance.
Manage and coordinate student transportation services.

Data Management Responsibilities:

Meticulously maintain internal and external student information databases and spreadsheets with relevant academic, biographical, and family contact information.
Train staff in their usage of student information systems, ensuring consistent and accurate student data records.
Prepare and analyze data and compliance reports for school leaders and other stakeholders.
Thoughtfully manage the supportive and appropriate dissemination of sensitive student information with teammates, family members, and stakeholders.
Manage and execute data systems pertaining to internal and state assessments, report cards and promotional status, enrollment, attendance, and more.
Compile and analyze reports on student daily attendance, identify trends and provide suggested plans to the school leadership to drive towards the school's student attendance goals.
Compile and analyze reports on academic proficiency provide data rolled up to the leadership team on a quarterly basis.

After School Coordinator Responsibilities:

Oversee the daily operation, coordination, and delivery of after-school programming at Democracy Prep at the Stewart Campus, including meals and transportation.
Ensure all after-school staff and scholars are assigned classrooms and sign-in and out daily
Drive strong after-school attendance, measure participation, and problem-solve around any attendance issues
Coordinate and procure necessary after school supplies. Place orders and disseminate supplies to after school teachers.
Maintain a safe after school environment with emergency information and procedures
Communicate daily with teachers, scholars, parents, and other staff as needed
Maintain a direct connection to the regular school day and address specific needs of Democracy Prep at the Stewart Campus scholars.

Other Operations Responsibilities:

Support student culture and behavior systems by participating in operational posts such as arrival and dismissal, lunch, and event support.
Other operational tasks as assigned by the Director of Operations.

Salary is competitive and commensurate with your experience.
