Position OverviewUltimate Staffing Services is actively seeking a dedicated Contract Admin to join their client's team in Nevada. This role is integral to ensuring smooth operations and effective communication with both internal and external stakeholders. The successful candidate will handle various administrative and coordination tasks in a fast-paced environment, supporting the business's service operations. Responsibilities- Produce estimates and bids using Word and Excel, and send them to customers.
- Build comprehensive reports as required.
- Process semi-monthly payroll into Spectrum.
- Handle permits and plans efficiently.
- Communicate via email and phone with customers, book jobs, and dispatch daily service calls in coordination with service managers.
- Manage accounts payable in Coupa DE, including matching purchase orders and billing clients (training on Coupa provided).
- Conduct invoicing and manage high-volume accounts receivable.
- Provide inspection reports and documentation of deficiencies and necessary improvements.
- Coordinate the correction of noted deficiencies between clients and service teams.
- Arrange for the replacement or repair of equipment, ensuring complete project management and service team coordination.
- Support technicians with barcoding and scanning procedures.
- Manage new service programs in "Building Reports," "Building Trades," and "Site Docs."
- Monitor and update all technicians' certifications on Site Docs.
- Monitor all safety reports within the inspection department.
- Foster a team-oriented atmosphere with a casual work environment and a close family feel.
Required Work HoursMonday through Friday, 1st shift. 7:00AM-4:00PM Benefits- 1 week vacation in the first year.
